Euroclass Visionary Academy Terms & Conditions

Introduction:

(1) Terms and Conditions: These Terms and Conditions (T’s & C’s) reflects the customs and practices of Euroclass Visionary Academy (EVA). Together with the letter of offer, the confirmation form and associated fees, the T’s & C’s constitute the basis of a legally binding contract between the Parents and the School for the provision of educational services. These terms and conditions are intended to promote the education and welfare of pupils and also the stability, forward-planning, and development of Euroclass Visionary Academy.

(2) Variations: These terms and conditions, and the associated fees are subject to change from time to time to reflect changes in the customs and practices at the School as well as the country’s economic situation.

(3) Fees & Notice: The rules concerning Fees and Notice are of particular importance and are set out in more details further below.

Admission & Entry to the School:

(4) Registration and Admission: Applicants will be considered as candidates for Admission and Entry into the School when the registration form has been completed and returned to the school and the non-refundable Registration Fee has been paid into the school’s First Bank Account 2041426791. Admission will be subject to the availability of a place and the Pupil and the Parents satisfying the admission requirements at the relevant time. Admission occurs when the Parents accept the offer of a place. Entry occurs on the date when the Pupil attends the School for the first time under these terms and conditions. Parents are advised to keep their payment receipts safely as they may be asked to provide it at any point in time by the school authority, and failing to do so, it will be concluded that such payment have not been made and the full amount will be demanded for by the school authority.

(5) Offer of a place and payment: A payment (Confirmation Fee) as shown on the fees list for the relevant year will be payable when the Parents accept the offer of a place. A payment of the Confirmation Fee as detailed in the Fees List will be non-refundable in any circumstances and has to be paid into the School’s First Bank Account 2041426791

Pastoral care:

(6) The School's commitment: We will do all that is reasonable to safeguard and promote the Pupil's welfare and to provide pastoral care to the best of our knowledge in all circumstances. As such, we are dedicated to the development of the pupils. We will respect the Pupil's human rights and freedoms which however must be balanced with the disciplinary rules of the School community.

(7) Ethos: The ethos of the School is to foster good relationships between members of staff and pupils. Bullying, harassment, victimisation, discrimination and abuse will not be tolerated. The School and its staff will act fairly in relation to Pupils, Parents and Guardians; and the School expects the same from the Pupils, Parents, and Guardians.

(8) Photographs or images (including video recordings): By signing the confirmation form or agreeing to these terms and conditions the Parents’ consent, as far as is required under data protection law, to the School obtaining and using photographs or images (including video recordings) of the Pupil for use in the School's promotional material such as its prospectus, website, social media handles, press and media platforms or for other educational purposes as pertaining curriculum or extra-curricular activities. However, the School may seek specific consent from the Parents before using a photograph or video recording where the School considers that the use is more privacy intrusive.

(9) Transport: By signing the residential trip form, the Parents consents to the Pupils travelling by any form of public transport and/or in a motor vehicle driven by a responsible adult who is duly licensed and insured to drive a vehicle of that type.

(9a) Using the school bus: Bookings and payment for use of the school bus must be made 2 weeks before or not later than 1 week after the commencement of the term into the School’s First Bank Account 2041806957 to avoid refusing your child from entering the bus. For more information as regards to transportation, see the Transportation Terms & Conditions.

 Educational Matters:

(10) Provision of Education: EVA will do all that is reasonable to provide an educational environment and facilities which is suitable for pupil to learn and understand what they are taught. The School will exercise reasonable care and skill in providing educational services to ensure that the Pupil will achieve his/her desired examination results or at least a result that will be sufficient to enter higher educational establishments.

(11) Organisation of the Curriculum: EVA reserves the right to organise the curriculum and its delivery in a way which, in the professional judgement of the Headmaster, is most appropriate to the School community. We will endeavour to inform the Parents of changes and the reasons for them as soon as practicable. If the Parents have specific requirements or concerns about any aspect of the Pupil's education or progress, they should contact the Pupil's teacher, or other appropriate member of staff, as soon as possible, or rather contact the Headmaster in the case of a serious concern.

(12) Progress Reports: The School shall monitor the Pupil's progress and shall report regularly to the Parents by means of grades, full written reports and (consultation/parents' meetings).

Behaviour and Discipline:

(13) School Regimes: The Parents accept that the School will be run in accordance with the authorities delegated by the Governing Body to the Headmaster.

The Headmaster is entitled to exercise a wide discretion in relation to the School's policies, rules and regime and will exercise those discretions in a reasonable and lawful manner, and with procedural fairness when the status of the Pupil is at issue.

(14) Conduct and Attendance: We attach importance to courtesy, integrity, good manners, good discipline and respect for the needs of others. The Parents warrant that the Pupil will take a full part in the activities of the School, will attend each School day, will be punctual (NO AFRICAN TIME), will work hard, will be well-behaved and will comply with the School rules about the wearing of uniform and general appearance.

(15) School Rules: The School rules which apply are set out in the Pupil Handbook and other documents published from time to time. The Parents are requested to read these documents carefully with the Pupil before they accept the offer of a place.

(16) School Discipline: The Parents accepts the authority of the Headmaster and of other members of staff on the Headmaster's behalf to take all reasonable disciplinary or preventative action necessary to safeguard and promote the welfare of the Pupil and the School community as a whole. The School's disciplinary policy which is current at the time (and published on the School website) applies to all pupils when they are on the School premises, or in the care of the School, or wearing School uniform, or otherwise representing or associated with the School.

(17) Suspension: Means that the Pupil is sent or released home for a limited period of time either as a disciplinary sanction or pending the outcome of the school-boards’ investigation. Suspension mostly involves fighting, stealing, damage of property and other related criminal offences.

(18) Expulsion: The Pupil may be formally expelled from the School if it is proved on the balance of probabilities that the Pupil has committed a very grave breach of discipline or a serious criminal offence. Expulsion is reserved for the most serious breaches such as theft. The Headmaster shall act with procedural fairness in all of such cases. The Headmasters’ decision to expel shall be subject to a school-boards’ Review if requested by the Parents. The Parents will be given a copy of the Review procedure current at the time. The Pupil shall be suspended from the School pending the outcome of the Review.

(19) Fees following Expulsion: If the Pupil is expelled, there will be no refund of the Confirmation Fee or of Fees for the current or past Terms. In addition, any other agreement made between the Parents and the School, all arrears of Fees and any other sums due to the School will be payable.

(20) Removal in Other Circumstances:  If after consultation with the Parents regarding any concerns about the pupil and the Headmaster is of the opinion that by reason of the Pupil's conduct, behaviour or progress, the Pupil is unwilling or unable to benefit sufficiently from the educational opportunities offered by the School, the Parents may be required to remove the Pupil permanently from the School or from boarding, if deemed more appropriate for the pupil.

(21) Complaints Procedure: A complaint about any matter of School policy or administration not involving an Expulsion or Removal of the Pupil must be made in accordance with the School's complaints procedure, a copy of which is available on request. Every reasonable complaint shall receive fair and proper consideration and a timely response.

(22) Fees: May include alone or in combination any of the following; Registration Fee, Confirmation Fee, school fees, boarding fees, fees for extra lessons, uniform and equipment fees, photographs or other items ordered by the Parents or the Pupil, charges arising in respect to educational visits, damage where the Pupil alone or with others has caused wilful loss or damage to School property or the property of any other person (fair wear and tear excluded).

(23) Payment of Fees: The Parents jointly and individually agree to pay the Fees applicable to each Term directly to the School’s First bank accounts 2041426791. Except where a separate agreement has been made between the Parents and the School for the deferment of payment of fees, fees for each term are due and payable as cleared funds latest 2 weeks after the commencement of the School’s Term to which they relate. If an item on the fees invoice is under query, the balance of that fees invoice must be paid.

(23a) Payment for Materials: It is of high importance to note that fees for materials (which include Uniforms, books and other Equipment) are payable into the School’s Monie Point (POS) or Account 5606697530 to avoid invalid payment.

(24) Expulsion for Non-Payment of Fees: The School reserves the right to expel the Pupil after 2 weeks of overdue fees. If the Parents fails to redeem the overdue fees within a period of 28 days after the expulsion, the pupil will be deemed withdrawn without Notice and a Term's Fees in lieu of Notice will be payable in accordance. Expulsion in these circumstances is not a disciplinary matter and the right to a School boards' Review will not normally arise.

The policy of Euroclass Visionary Academy is that any money owed to the school should be settled when requested. To ensure that Parents/Guardians understand the expectations of when different items should be paid for, we are introducing further clarifications below.

CRECHE, NURSERY AND PRIMARY

All fees associated with the upcoming term, i.e. school fees, uniforms or sports items must be settled in full not later than 2 weeks after the commencement of the term. No child will be allowed into the class after the above time frame until associated fees are fully paid.

HOLIDAY CLUB PAYMENT

Full payment must be received by 12pm on the Friday before the next holiday club week. The school reserves the right to withdraw any future bookings until all arrears are redeemed.

CLUB FEES

From time to time the school may offer after-school clubs which incur a small charge to cover the staff waiting hours. Parents/Guardians must pay the fees associated with the club before the club starts on the due date given. The school reserves the right to withdraw the offer of a place at the club if fees are not settled in full when requested.

RESIDENTIAL TRIPS

All fees for residential trips must be paid for in full by the due date given. In signing the booking form, the parent/Guardian agrees to pay for the full cost of their child’s place. No refunds will be given (either deposit or full fees) if a child’s Parent/Guardian decides that they no longer wish to take up the place. The school reserves the right to withdraw the place on the trip if payment is not received by the date requested.

By signing this terms and condition, Parents have agreed to adhere to the school policies and the child has then been offered a place in the school.

Note: These Terms and Conditions are subject to change from time to time to reflect changes in the customs and practices at the School as well as the country’s economic situation.
